Add a mailbox
Add your e-mail accounts (Gmail, iCloud, Outlook or any IMAP mailbox) so mail is sorted and answered in the same inbox as your chats.
ChatPilot reads your mail over IMAP and sends over SMTP, like any mail app. Add as many mailboxes as you like.
Add one
- In the panel, open Settings → Mailboxes and press + Add mailbox.
- Type the Address. ChatPilot recognises the big providers and fills in the server settings itself.
- Fill in Your name (shown as the sender of your replies).
- Sign in, depending on your provider (below).
- Choose what to Show and what Done means, then press the button to connect.
Gmail and Google Workspace
Press Sign in with Google: Google's page opens in a new tab. Choose your account and allow ChatPilot to read and send your mail; the tab then says you can close it, and the mailbox is connected. There is no password to type, and ChatPilot never sees your Google password. The address comes from the sign-in.
Google hasn't verified ChatPilot yet, so the first time it may show Google hasn't verified this app. Press Advanced, then Go to ChatPilot. You see this only once.
Prefer a password? Press Use an app password instead and use a Google app password (Google account → Security → 2-Step Verification → App passwords).
If Google signs ChatPilot out (you removed its access, or changed your password), the mailbox row has Sign in again: press it and allow ChatPilot once more.
Take your time on Google's pages: ChatPilot waits up to 10 minutes. The tab Google sends back says Signed in only once the mailbox is really connected; otherwise it says what went wrong, and so does the card. The mailbox is connected even if you closed ChatPilot's page meanwhile. If the card still says Waiting for Google… after you finished, press I'm done, check again; Cancel stops the sign-in.
For a Google Workspace address that ChatPilot doesn't recognise, press Google Workspace? Sign in with Google.
Outlook and Hotmail
Microsoft sign-in needs a free app registration of your own; the form says what to fill in under Client ID. Press Sign in with Microsoft: the card shows a web address and a code. Open the address, type the code and sign in with that mailbox.
iCloud and other mailboxes
Fill in the Password. iCloud needs an app-specific password (make one at https://appleid.apple.com under Sign-In and Security). For another provider, use the mailbox's own password, or press Server settings to fill in the IMAP and SMTP server yourself. Press Test & connect: ChatPilot tries the login before it saves anything.
Show
| Choice | What happens |
|---|---|
| All mail, with AI (sorting, drafts) | every sender, new ones too, is switched on and ChatPilot can read their mail |
| All mail, without AI | every sender's mail, new ones too, is kept; nothing goes to the AI |
| Only senders I switch on | every sender starts off; you switch on the ones you want |
You can change single senders, or a whole domain, at any time: Choose which chats ChatPilot may read.
Done means
What happens on the mail server when you mark a mail Done in ChatPilot: Delete (it goes to the deleted messages), Archive, or Only clear it in ChatPilot (the server isn't touched).
Other addresses you send from
If you reply from more than one address with one mailbox (Gmail's Send mail as), list them under Send-as addresses. A reply to mail sent to one of those addresses then goes out from that address. In Gmail each must be a verified Send mail as address.
Disconnect
Disconnect removes the mailbox and its mail from ChatPilot. Nothing changes on the mail server.
