Share the work
Give a chat to a member, share it, keep family chats private, leave notes for the team, and hand out tasks.
In team mode every work chat has one member who has it, and others can follow it. This page is about who has what; Set up team mode covers signing in and roles.
Assign a chat
Open the chat, then More → Assign. The menu says who has the chat now (owners and leads see it next to the account name at the top of the chat too).
- Assign to: gives the chat to a member.
- ↩ Back to … returns it to the member whose account it came in through.
- Also share with: lets other members follow the chat as well; pick a name again to stop sharing.
Reassigning moves nothing: the history, the tasks and the client card belong to the chat, so they go along with it.
Rules that assign
A rule can hand chats out by itself: in Automation → Rules, give a rule the action 👤 Assign to a team member (for example, chats with the label client go to one member). A rule never takes a chat away from someone it was given to by hand. See Rules and away mode.
Private chats
For family and friends:
- tick 🔒 Private next to your own account (under Accounts on the Team card, or on You in the team), and all its chats are yours alone; or
- pick Private (only me) under More → Assign in one chat.
Only you see a private chat: no lead, not even another owner. It is no longer shared, can't be given to anyone, and a private account can't be handed to someone else. Only you can switch it back (Make it a work chat again). Private chats never show in the team overview.
Notes for your team
More → Team notes in a chat, and the Notes for your team card on a person in People. The contact never sees them and they never go to the AI. Whoever may see the chat (or the person) reads its notes; only the writer changes a note, and the writer or an owner removes it.
Tasks
A task belongs to whoever has its chat, unless someone gave it to a member: press 👤 on the task in Tasks. Owners and leads give a task to anyone who can see the chat; a member can take one. ↩ Back to whoever has the chat undoes it. A task without a chat belongs to whoever wrote it.
Tasks shows Mine or Everyone's; Today shows your own. The Telegram control bot belongs to one member (team.telegram_member, else the first owner) and only reminds them; everyone else finds their reminders in the panel, on Today or with the chat back in their inbox.
Auto-answer in a team
Where auto-answer is on, ChatPilot answers as the assistant of the member who has the chat ("Hi! I'm ChatPilot, <their name>'s AI assistant"), in the account the chat came in through, with the usual mark and limits. Every message it sends is reported to the control bot, so it doesn't answer in a chat the bot's member may not see; the chat's auto-answer card says so.
Leads and members run the action cards of the chats and people they see, and the log shows who pressed Run. Money, deleting and budgets, and a card that isn't about a chat or a contact, stay with owners. Everything a signed-in member does (drafts written, approved or sent, chats marked done, actions run) is recorded with their name.
