Microsoft Teams transcripts
Connect Microsoft Teams so the transcript of each meeting you organised comes into ChatPilot after it ends; needs your organisation's admin once.
Microsoft Teams brings your Teams meetings into ChatPilot: after a meeting ends, ChatPilot fetches its transcript and keeps it with your chats, so the meeting can show up in that person's history. ChatPilot doesn't do the video: it never joins a call and never records one. All of it at a glance: Meetings: links, transcripts and summaries.
What it needs
- A work or school Microsoft account (Microsoft 365). Teams with a personal Microsoft account makes no transcripts that other apps can read.
- An app registration of your own, the same kind an Outlook mailbox signs in with. If you already connected an Outlook mailbox, ChatPilot fills in its ID for you; the registration must then also allow work or school accounts.
- Your organisation's admin allows it once: reading meeting transcripts is a permission only an admin can grant.
Make the app registration
- Open the Microsoft Entra admin center (entra.microsoft.com) and go to Applications → App registrations → New registration.
- Give it a name (for example ChatPilot), choose Accounts in any organizational directory, and click Register.
- Under Authentication, switch Allow public client flows on and save.
- Under API permissions, click Add a permission → Microsoft Graph → Delegated permissions and add OnlineMeetings.Read and OnlineMeetingTranscript.Read.All.
- Click Grant admin consent for your organisation. If you aren't an admin, send these steps to the person who is: without this click, Microsoft won't let ChatPilot read transcripts.
- Copy the Application (client) ID from the registration's Overview.
Connect it
- Open Settings → Meeting platforms.
- Paste the Application (client) ID under Microsoft Teams and click Connect Microsoft Teams.
- ChatPilot shows a link and a short code: open the link, enter the code and sign in with your work or school account.
This is a sign-in of its own: connecting an Outlook mailbox never asks for your meetings, and connecting Teams doesn't give ChatPilot your mail. ChatPilot only asks to read: who you are, your meetings and their transcripts.
Right after connecting, ChatPilot looks at the meetings of the last week. After that it checks every 15 minutes; Check now checks at once.
When there is a transcript
ChatPilot reads the transcripts of the meetings you organised. Teams only makes one when someone started Transcription in the meeting (More → Record and transcribe → Start transcription), and your organisation allows transcription.
Pause or disconnect
- The switch Fetch transcripts after each meeting pauses it; the sign-in stays.
- Disconnect forgets the sign-in and stops fetching. Transcripts ChatPilot already has stay, until the kept time is up or you delete them (below).
If the card shows a warning, it says what to do: Sign in again when the sign-in expired, or ask your admin for the consent above when Microsoft doesn't allow reading transcripts. When the card counts meetings without a transcript, transcription was off in those meetings: switch it on in the meeting, and the next ones come in.
Summaries and how long meetings are kept
These go for every meeting platform: open For every meeting platform on the same card.
- Summarise meetings automatically is on at first: after a meeting with someone whose chat has AI on, your AI writes a short summary and the action points. That sends the transcript to the AI you chose (Access → AI); for a person whose chat is set to Only my own AI, it stays with your own AI. Switched off, new meetings are kept but no AI reads them by itself; Summarise again on one meeting still makes its summary.
- Keep meetings says how long ChatPilot keeps a meeting and its transcript: 30, 90 (the default), 180 or 365 days after the meeting, or until you delete them. A shorter time counts at once.
- Show kept meetings lists them; Delete forgets one meeting and its transcript, and ChatPilot doesn't fetch it again. The meeting itself stays with the platform.
A transcript is what people said in the meeting: ChatPilot treats it as information, never as an instruction.
