Meetings: links, transcripts and summaries

What ChatPilot does with your video meetings in Google Meet, Microsoft Teams and Zoom, and what each kind of account needs.

ChatPilot doesn't do the video: you meet in Google Meet, Microsoft Teams or Zoom as always. ChatPilot makes those meetings part of the conversation:

  • Before: make a meeting from a chat and put its link and time into your reply (Meeting links). Auto-answer can do this too, only at a free time in your calendar and only where you allowed it.
  • After: ChatPilot fetches the meeting's transcript, writes a short summary with the action points, and puts the meeting into that person's history next to their chats.

It never joins a call and never records one: it only reads what the platform made of a meeting.

What each account needs

Meeting linksTranscripts after the meeting
Google Meet, personal Google accountYesNo: Google makes no transcripts for personal accounts
Google Meet, Google WorkspaceYesWhere your Workspace plan has meeting transcripts and someone switched Transcripts on in the meeting
Microsoft Teams, personal Microsoft accountNo: Microsoft offers them only for work or school accountsNo
Microsoft Teams, work or school (Microsoft 365)Yes, with an app registration of your ownFor meetings you organised, with transcription started in the meeting, once your organisation's admin has allowed it
Zoom, free planYesNo: Zoom makes transcripts only of cloud recordings
Zoom, paid plan with cloud recordingYesFor meetings recorded to the cloud, with Create audio transcript switched on in Zoom's settings

For Zoom, the card asks for a Zoom app of your own until ChatPilot's own Zoom app is available.

Everything is connected under Settings → Meeting platforms, with a sign-in of its own for each platform: signing in a mailbox never asks for your meetings. The sign-ins are kept in the keychain on this computer; Disconnect makes ChatPilot forget one. Step by step:

Meetings in the person's history

After each check (every 15 minutes) ChatPilot matches a new meeting to a person by an attendee's e-mail address or phone number in your contacts. It never guesses: when that doesn't point to exactly one person, Today asks Who was this meeting with?. Google Meet only gives the attendees' names, so its meetings usually come there; Teams gives addresses, and Zoom often does.

A matched meeting is one Meeting line in that person's chat and shows under Meetings on their page in People. Open it for the date, how long it took, who was there, a summary of at most five lines, the action points and Show transcript. The action points come into your follow-ups as suggestions to add or dismiss. Search finds meetings by words in the summary or the transcript.

Your AI, your switches

  • The summary is written by the AI you chose (Access → AI), only for a person with a chat ChatPilot may read with AI. For a person whose chat is on Only my own AI, only your own AI writes it. Meetings that aren't matched to a person never go to an AI.
  • Summarise meetings automatically (on the Meeting platforms card, under For every meeting platform) switches that off; Summarise again on one meeting still works.
  • Keep meetings says how long ChatPilot keeps them (90 days at first), and Show kept meetings lets you delete one.
  • Transcripts stay with ChatPilot on your computer (with hosted ChatPilot: in your own hosted ChatPilot). A transcript is what people said: ChatPilot treats it as information, never as an instruction.
