Meeting links

Make a Google Meet, Microsoft Teams or Zoom meeting from a chat and put its link and time into your reply.

ChatPilot doesn't do the video itself: it makes the meeting on the platform you already use and puts the link into your reply. Nothing is sent until you press Send. What happens after the meeting: Meetings: links, transcripts and summaries.

Connect a platform

All are connected under Settings → Meeting platforms. Each has its own sign-in, asked only there (signing in a mailbox never asks for it). The sign-in is kept in the keychain on this computer, never in a file; Disconnect makes ChatPilot forget it.

  • Google Meet: Connect Google Meet (the same sign-in that fetches your transcripts: Google Meet transcripts). For meeting links it also asks to make calendar events, to see when you're busy (only busy or free, nothing else of your calendar) and to make Meet links. If Google says it hasn't verified ChatPilot yet, press Advanced → Go to ChatPilot.
  • Microsoft Teams: under Meeting links on the same card, press Connect. Teams meeting links need a work or school Microsoft account (Microsoft doesn't offer them for personal accounts). ChatPilot signs in with an app registration of your own, as for an Outlook mailbox: in the Azure portal, under App registrations, make one for accounts in any organisation, switch Allow public client flows on and add the delegated permissions OnlineMeetings.ReadWrite and Calendars.ReadBasic. Enter its Client id, press Sign in with Microsoft and enter the code on Microsoft's page. Your organisation's administrator may have to approve the permissions first.
  • Zoom: Connect Zoom, the same sign-in that fetches your Zoom transcripts (Zoom transcripts). Zoom has no calendar of its own, so the free times are the times between your upcoming Zoom meetings (and your Meeting times). No fixed time makes an instant meeting whose link works right away.

In a chat, open the ⋯ menu next to the reply box and choose Meeting link:

  1. Pick the platform (only the connected ones show).
  2. Pick When: one of the free times from that platform's calendar, or No fixed time for a link that works whenever you meet. The free times follow your Meeting times (how long a meeting is, the hours and days, how soon at the earliest): see Meeting times.
  3. Change the meeting's name if you like and press Make the link.

The link (and the time, if you picked one) is added to your reply; with a time, the meeting is also in your calendar. Read it over and press Send as always.

Auto-answer can make the link itself when someone in a chat with auto-answer on asks for a call. A connected platform shows up under Settings → Integrations (Google Meet, Microsoft Teams, Zoom) with one action, Meeting link, off until you switch it on. With 🤖 auto-answer ticked next to it (Actions auto-answer may run), auto-answer may agree a time and make the meeting, under the same limits as booking an appointment:

  • only at a free time ChatPilot read from that platform's calendar itself (your Meeting times decide the hours, days and length; auto-answer sees the free times, nothing else of the calendar);
  • within the daily limits for actions auto-answer runs, and once per chat a day;
  • a time that isn't free, a calendar that can't be read or a link that couldn't be made: the reply waits for you, and the note says why. Add a link yourself with ⋯ → Meeting link.

The link goes into the reply where auto-answer put it; with Google Meet the meeting is in your calendar too, with Zoom in your Zoom meetings. Telegram tells you, as for every action auto-answer runs.
