QuickBooks Online

For businesses that invoice in QuickBooks Online: a customer's open invoices, balance and payments next to their chat, "Is my payment in?" answered from your books, read only.

QuickBooks Online is online accounting by Intuit. ChatPilot reads your customers, their open, late and paid invoices, what each customer still owes and the payments you received, read only, through the QuickBooks Online Accounting API. You sign in with Intuit; ChatPilot never sees your password.

What you need

For now you sign in through an Intuit app of your own, which takes a few minutes once:

  1. Go to developer.intuit.com, sign in and create an app for QuickBooks Online and Payments with the Accounting scope.
  2. Under Keys and credentials (Production) copy the app's Client ID and Client Secret. Intuit may ask a few questions about your app before it shows the production keys.
  3. Check the app's Redirect URIs: Intuit lists its own OAuth Playground address there (https://developer.intuit.com/v2/OAuth2Playground/RedirectUrl, also shown in ChatPilot's form). If it isn't there, add it.

Connect it

  1. Settings → Integrations → + Add system → QuickBooks Online.
  2. Paste the Client ID and Client Secret of your Intuit app, give it a Name and choose Sign in with QuickBooks Online.
  3. On Intuit's own page, sign in and choose the company you want to connect. Intuit asks for its accounting permission; ChatPilot only has tools that read.
  4. Intuit's tab then ends on its OAuth Playground page. Copy that page's whole address from the address bar, paste it into the box ChatPilot shows and choose Finish. The company comes from that address. ChatPilot reads the company once to check the sign-in, and only then adds the system. The sign-in and your app's secret go into the Keychain.

Several companies? Add QuickBooks Online once for each.

Use it for a customer

Bind the customer's chat to their customer in QuickBooks, found by the name QuickBooks shows for them (see Live data in a chat). The 📇 card then shows what they still owe, their open invoices with the first due date, and their last payment. In a discussion you can ask "which invoices are still open?" or "is my payment in?". Where you allow it, ChatPilot can answer "Is my payment in?" from your books in that customer's chat, about that customer only.

The monitors Invoice overdue and Payment received and a monthly statement are offered for a customer, all off until you switch them on. 📊 Reports → Ready-made has Open and late invoices, Who owes what and Payments received.

Amounts come as QuickBooks keeps them, in the customer's currency. ChatPilot never sends, books or changes anything in QuickBooks. If Intuit stops accepting the sign-in, remove the system and connect it again.

Their documentation: Intuit's OAuth 2.0 sign-in.
