ChatPilot
Getting started

Bring over what you have in another app

Import your signatures, away message, mail filters, blocked senders, labels, VIPs, contacts, templates, working hours and language from Gmail, Outlook, Apple Mail, WhatsApp Business or your Mac. You see everything first, and Undo import takes it back.

Already set things up in another app? ChatPilot can bring them over, so you don't have to do them again. It only reads the other app: nothing there is changed or deleted, and nothing comes over until you press Import.

Where to find it

A new install offers it in the welcome, right after you link your first account: Bring over what you already have lists what can come over, and See what comes over opens the same list as below (see First start).

After that, an Import from … button sits on the screens where something can come in:

  • Settings → Mailboxes, a mailbox's Signatures tab: the signatures you made in Apple Mail on this Mac (see E-mail signatures).
  • Automation → Rules & auto-answer, the Away mode card: the away message of a Gmail or Outlook mailbox (see Rules and away mode).
  • Inbox → Filters & clean-up, the Your filters card: Gmail filters, Outlook rules and, on a Mac, Apple Mail rules (pick the mailbox they are for) become mail filters (see Labels, pins and mail filters). A filter or rule ChatPilot can't do is skipped with why; one that is off there comes over switched off. On a Mac, the senders and domains you blocked (the block list Mail, Messages and FaceTime share) come over as filters that move their mail to spam; a blocked phone number is skipped. Blocking someone in Gmail makes a Gmail filter, which comes over with the Gmail filters; Outlook's blocked senders can't be read by other apps.
  • People, next to + New contact: your Mac's Contacts, Google Contacts, Outlook contacts and the names of the WhatsApp, Telegram and SMS chats that belong to nobody yet become people (see People and client cards). A contact with an e-mail address or phone number someone here already has joins that person instead of making a second one: their addresses, numbers, company, job title and birthday are added, nothing they have is replaced. A contact without any address or number, or one that matches two people here, is skipped.
  • Automation → Templates, the New template card: the message templates of a WhatsApp Business number, the Templates folder of a connected mailbox (where Thunderbird, Outlook and most mail apps keep theirs; on Gmail a label called Templates), Outlook's Quick Parts on Windows and your Mac's text replacements become templates (see Reply and approve drafts). Only the name and the text come over; a template with the same name gets the new text, and whether auto-answer may send it stays as you set it. Gmail's own templates (Settings → Templates in Gmail) can't be read by other apps.
  • Settings → Meeting times: the working hours of an Outlook mailbox (the hours, the days and the time zone), the work hours of Calendar on your Mac, or this computer's time zone (see Google Calendar).

Mail labels (the folders and labels of a mailbox, Outlook categories, Apple Mail flags) come in from the command bar: press ⌘K (Ctrl+K on Windows and Linux), type import and choose Import from another app, then Labels. Each mail folder becomes a label on the mail chats of the people in it. Two more come in the same way:

  • VIPs: the people whose mail you starred in Gmail (or flagged in another mailbox) and your Apple Mail VIPs become VIP on their mail chats. An import only makes chats VIP, never takes it away, and only chats you switched on.
  • Your language: the language of this computer becomes the language ChatPilot writes summaries in (as under Settings → About you).

ChatPilot can only read from a mailbox or app you connected yourself. With nothing to read from yet, the sheet says so and offers Connect an account.

What you see before anything changes

  1. From where? Pick the mailbox or app. With only one, ChatPilot reads it straight away.
  2. The list. Every item, marked New or Changed (with what changes, for example Replaces your away message), and below them what is skipped, with why: already here, too long, the mailbox is signed out, ChatPilot needs Full Disk Access on your Mac, and so on. Where you can fix it, a button takes you there (Sign in again, Open Permissions). Google Contacts and Outlook contacts are read with your mailbox's sign-in; where it never allowed reading contacts, the row says so.
  3. Untick what you don't want, then press Import.

Turning Away mode on stays your choice: an imported away message only replaces the text.

Undo import

After an import the sheet shows Undo import. It takes back exactly what that import added or changed: new items are removed and changed ones get their old value again. Anything you changed yourself since the import stays as it is.

Every import is listed under Earlier imports at the bottom of the sheet, with when, from where and how many, so you can undo an older one later too.

Moving to a new computer, or from another ChatPilot? That is not an import: use Backup and restore.
